Calendar, reminders and scheduled tasks

Events, reminders (including reminders for other members that need confirming), recurring agent tasks, time zones and the Calendar page.

Your calendar holds three kinds of items:

Kind What it is
Event Something happening at a time, with a duration and optional attendees
Reminder A text reminder sent to you or to group members at a time
Task Work your Gluon does at a time, such as “every Monday at 8, summarise my week”

Items are private to you or belong to a group. The Calendar page shows all of them: your private items, your groups’ items, events you’re invited to and reminders addressed to you. Each group’s Calendar tab shows just that group, with other members’ private events as Busy blocks without details.

  • “Add dentist on Thursday at 4:30 for an hour.”
  • “Remind me in 20 minutes to take the cake out.”
  • “Every weekday at 7:45, remind Dad to take his medicine and ask him to confirm.”
  • “Every Sunday at 9, check the weather for the week and tell me which days are good for a picnic.”
  • “What’s on our family calendar this weekend?”
  • “Move my Friday call to 5.”

Gluon asks when a time or repeat is unclear. Creating a scheduled task and changing a reminder or task ask for your approval by default, because a task runs an instruction on your behalf; the approval card shows the exact instruction.

Items can repeat daily, weekly, monthly or yearly, every N days or weeks, on chosen weekdays, on a day of the month, or on patterns such as “the last Friday of every month”, for a number of times or until a date. A repeat at 09:00 stays at 09:00 across daylight saving changes. Repeats more often than daily, and several times a day in one item, aren’t supported; create separate items instead.

In a group, a reminder can go to chosen members, such as “remind Dad”. Each recipient gets a push notification and an item in Needs you.

A confirmation reminder waits for the recipient to tap Done. If nobody confirms within 30 minutes (or the time you chose), it reminds them again; if there’s still no answer, it tells you, the creator, who hasn’t confirmed. Recipients can also Snooze it.

A task runs your instruction at its time, with your Gluon’s usual tools and permissions:

  • It runs in the chat where you created it, or in a fresh chat each time if you ask for a standalone report. A fresh chat sees only the saved instruction, so make the instruction complete on its own.
  • If it reaches a tool set to Ask, it waits in that chat and in Needs you for your approval.
  • A task created in a group runs on your Gluon in the group and posts its result there.
  • Deleting the chat a task belongs to cancels the task.

Open a one-off task on the Schedule tab to see its date and time, the instruction Gluon runs (its first line until Show all) and its recent runs, each opening the chat it wrote to. A reminder shows its recent occurrences the same way. A repeating task opens as a routine.

Gluon uses your device’s time zone, which the app reports when you open it. Until it knows, it asks for your time zone before scheduling anything except a reminder “in N minutes”. Each item keeps its own time zone, so editing only the time zone keeps the local time.

A routine is a repeating task, such as a morning news briefing. The Calendar page opens on its Routines tab, which lists every routine you can see, your own and your groups’:

  • Needs attention lists routines whose latest run failed, and Active the rest, each in the order they run next. Paused comes last.
  • Each row shows a status icon (a tick when it ran today, a cross when its latest run failed, an empty ring before its next run, a pause sign while paused), the routine’s name and how often and when it runs, such as “Daily · 9:00 AM”, then “failed 3 runs in a row”, “ran today”, “paused” or when it runs next.
  • Choose a routine to open its page. On a computer with nothing open, the first routine in the list shows beside it; on a phone the list fills the page.
  • With no routines, the tab says so. Ask Gluon in a chat for one, such as “send me the news every morning at 9”.

A routine’s page is about the routine, not one run:

  • Under its name, “Task” and its calendar, one line gives its schedule and next run, such as “Every day at 9:00 AM · next run tomorrow”.
  • When its latest run failed, a banner says how many runs in a row failed and when the latest was. Open latest run opens the chat that run wrote to, to see why. Ask Gluon to fix writes a request about the failure into the page’s composer, which you can edit before sending.
  • History lists its last 30 runs, newest first, each with a tick when it was done or a cross when it failed, its day, time and outcome. Choose a run to open the chat it wrote to.
  • Beside the history on a computer, and below it on a phone, are its instructions (the first line until Show all), how it repeats, its calendar and when it was created.
  • Edit, Delete and “Ask Gluon to change this task” work as on any item. On a phone the routine is its own page, with a back link to Routines.

On a routine you created, the top of its page has Run now and an Active switch.

  • Run now runs the routine once straight away. The run costs credits like a scheduled one, posts where its scheduled runs post and shows in its history; the schedule doesn’t change. While a run is still going, the button waits.
  • Turn Active off to pause the routine: it stops running and moves to Paused. Turn it back on to resume from its next scheduled time. Runs it missed while paused are skipped, not caught up.
  • You can also ask Gluon in a chat, such as “pause my morning news” or “resume it”. A repeating reminder pauses the same way.
  • Only the routine’s creator can pause it or run it now, since it runs as their Gluon. A group’s owner can still delete it.
  • Routines and Schedule tabs sit under the page title. The page opens on Routines (see Routines). The chosen tab is part of the page’s address, so going back, reloading or sharing the link keeps it.
  • Schedule is your calendar without routines. On a computer, the sidebar shows a small month with a dot on each day that has plans; choose a day, or the month’s arrows, to move the agenda and the month grid there. Below it, the agenda lists the chosen day and every later planned day of the month under labels such as “Today · Sat 31 Oct”. Each row shows the time and length in a plain column, the title, whether it’s an event, task or reminder (one-off tasks carry a sparkle icon), how it repeats, and the group it belongs to.
  • A day with routines leads with one summary row instead of a row per routine, such as “5 routines today · 2 done · 2 failed · 1 later”, with a small bar of their runs. Each routine counts once, by its latest run that day, and paused ones aren’t counted. Choose it to open the Routines tab.
  • On a phone, a week strip sits above the agenda instead of the small month; choose a day in it to jump there.
  • With nothing open on a computer, the month grid fills the main area under the month’s arrows and Today. Each day shows only its own events, reminders and one-off tasks as chips in their calendar’s colour; routines stay on the Routines tab.
  • The All calendars menu above the month grid (above the agenda on a phone) shows every calendar, only your own items (Personal), or one group’s.
  • Open a row to see that occurrence beside the agenda, still on Schedule, with its start time in its calendar’s colour beside the title: its date, repeat, calendar and, for a reminder, what it says and to whom. A repeating task shows its schedule instead, in one line with its next run (see A routine’s page). It has its own address, so reloading or sharing the link opens the same occurrence. On a phone it opens as its own page with a back arrow.
  • New adds an event or reminder, choosing Personal or a group, attendees or recipients, date and time, duration, repeat and confirmation.
  • Edit in an item’s header changes an event if you created it or own its group; a reminder or task only if you created it. Editing a repeating item changes the whole series.
  • Delete in the header removes the whole series. Tasks are created in chat, not on the page.
  • A reminder waiting for your confirmation shows Done and Later when you open it.
  • Ask Gluon to change this event, task or reminder, at the foot of an open item, shows the item as a chip with its title and says where Gluon will reply; your request is sent with that chip, which tells Gluon the item and the occurrence’s day. A private item’s request starts a new chat with it already sent; a group’s goes to that group’s chat as an @Gluon mention.

Who can change what: anyone in a group can add items; only the creator or the group owner can edit or delete an event; only the creator can change a reminder or task, because it posts or runs as their Gluon.

  • Gluon lists at most 60 days of calendar at a time; the page shows 62.
  • Reminders and tasks fire within about a minute of their time.
  • Text in a reminder’s push is cut at 500 characters; Needs you keeps 1,000.
